SPECIAL DATA PROJECTS ASSOCIATE
Reports to: Manager of Special Data Projects
Job summary: Prepare grantmaker and grant information for new data capture initiatives, using various MS Excel-based tools. Analyze and classify domestic and foreign grants by using our Grants Classification System (GCS), based on the National Taxonomy of Exempt Entities (NTEE). Enhance, review and maintain information on domestic and foreign grant recipient organizations through various means of research. Convert scanned 990-PF grant lists into editable data files (Excel) using Optical Character Recognition (OCR) software. Assist with maintaining and establishing relationships with current and potential electronic grant file reporters.
Responsibilities:
- Prepare and process electronic grant lists in MS Excel, load the resulting data files into the editorial database, and work with other staff in indexing and auto-coding the grants and recipient organizations using the NTEE/GCS.
- Gather and process information needed to perform special data projects initiated both internally and by external partners.
- Convert scanned 990-PF and other online grants lists into editable spreadsheets (in Excel), then process and load grants into the editorial database.
- As part of processing grants lists, match recipient names and locations to the Recipient Authority File using Excel-based tools to ensure grants link accurately within the database.
- Assist with the creation and maintenance of data capture and processing tools in both MS Excel and Access making use of automation procedures based in Visual Basic for Applications (VBA).
- Work closely with E-Grant Reporting Liaison in contacting grantmaker staff concerning electronic reporting and enhancing electronic grants data.
- Conduct web-based research on grant recipient organizations to update existing and create new records in the Recipient Authority File.
- Classify, edit, key, and proofread foundation grants data using the NTEE/GCS taxonomy.
- Perform other duties and special projects, as assigned.
Requirements:
BA/BS degree. Indexing or research experience required. PC computer literacy and familiarity with the World Wide Web required as well as proficiency with MS Office Applications (specifically MS Excel and MS Word). Data entry experience preferred. Experience with MS Access also preferred. Experience with macro automation in MS Office Applications (Microsoft Visual Basic - VBA) not necessary, but highly desired. Bilingual skills are a plus. Deadline and detail orientation are essential. Applicants should be able to think categorically and work both independently and cooperatively to achieve common goals.
Hours: Monday - Friday, 9-5.
